1. Platform Overview — Who Is This For?
SoftMedia is a digital commerce platform that lets you sell digital and physical products through your own WordPress website. The platform connects your store to a central hub that provides product inventory, delivery automation, license management, and payment processing.
There are two main types of users on the platform:
Store Owners (Sellers)
You install the plugin on your WordPress site, activate a license key, and connect to the platform. You receive synced products from the hub, set your profit margins, and sell to your own customers. You can also add your own private products alongside hub products.
Platform Suppliers
You upload products to the central platform's general stock. These products become available to all connected store owners who choose to sell them. The platform manages delivery, and you earn from wholesale pricing when your products sell through any connected store.
The platform operates on a hub-and-spoke model. The central hub holds the master inventory, delivery endpoints, and license server. Your WordPress plugin (the "store client") connects to this hub, pulls products you're authorized to sell, and handles your local storefront, cart, checkout, and order management.
2. User Roles Explained
| Role | What They Do | Access Level |
|---|---|---|
| Platform Admin | Manages the entire platform: issues licenses, approves suppliers, sets commission rates, manages the hub inventory, and oversees all connected stores. | Full System |
| Store Owner (Seller) | Runs their own WordPress store with the plugin. Activates a license, connects to the hub, syncs products, sets profit margins, manages orders, and handles customer payments. | Own Store |
| Supplier | Uploads products to the platform's general stock. These products are then available for store owners to sync and sell. Suppliers earn wholesale rates. | Hub Uploads |
| Customer | Buys products from a store owner's website. They browse the store, add to cart, pay, and receive digital delivery automatically. | Frontend Only |
3. Plugin Installation (Step by Step)
Follow these steps to install the store plugin on your WordPress website.
Download the Plugin ZIP
You will receive a ZIP file from the platform team (e.g., pro-blanche-store-v6.x.x.zip). Save it to your computer — do not unzip it.
Open Your WordPress Admin
Log in to your WordPress dashboard at yoursite.com/wp-admin/. Go to Plugins → Add New → Upload Plugin.
Upload and Activate
Click Choose File, select the ZIP file you downloaded, then click Install Now. After installation completes, click Activate.
Publish Required Pages
After activation, the plugin automatically creates the pages you need: Store, Cart, and Thank You pages. You can find them under Pages → All Pages. If they weren't auto-created, see the Shortcodes section below.
Navigate to the Plugin Dashboard
In your WordPress admin sidebar, you'll see a new menu item called Pro Blanche Store. This is your control panel for everything: products, settings, payments, API, wallet, and license.
If you are updating from an older version, do not deactivate the old plugin first. Simply upload the new ZIP over the existing one and activate. Your settings, products, and orders are preserved during updates.
4. Activating Your License Key
Your license key is what connects your store to the platform and authorizes product sync. Without a valid license, the plugin works in local mode only (you can add your own products, but cannot sync hub products or use API delivery).
Go to the License Page
In your WordPress admin, navigate to Pro Blanche Store → License.
Enter Your License Key
You'll see a field labeled License Key. Enter the key you received from the platform team. The format is PBS-XXXX-XXXX-XXXX.
Click "Activate / Validate Now"
The plugin contacts the platform's license server securely. Every response is verified with a public-key signature — this prevents tampering. If activation succeeds, you'll see the status change to Valid.
Your license is tied to your domain. Each license key works on one website only. If you need to move to a new domain, click Remove license from this site first, then activate on the new domain.
License Statuses:
| Status | Meaning |
|---|---|
| Valid | License is active and all features are unlocked. |
| Grace period | The license server couldn't be reached, but the plugin continues working temporarily. |
| Invalid | The key is wrong or already used on another domain. |
| Expired | Your subscription has ended. Renew to restore sync features. |
| Inactive | No key has been entered yet. |
5. Connecting Your Store to the Platform
Once your license is active, you need to configure the API connection that links your store to the platform's hub. This is what enables product sync and automatic delivery.
Setting Up the API Connection
Open API & Delivery Settings
Go to Pro Blanche Store → API & Delivery in your WordPress admin.
Enter the API URL
This is the delivery endpoint provided by the platform. It looks like: https://softmedialtd.com/wp-json/custom-api/v1/add-product. This is where the plugin sends delivery requests after a customer pays.
Enter the API Key
This is your secret authentication key. It proves to the platform that requests are coming from your authorized store. Keep this private — do not share it.
Set the API Timeout
Default is 20 seconds. This is how long the plugin waits for a delivery response. If your platform is slow, increase this up to 60 seconds. For normal operation, 20 is fine.
Save Settings
Click Save API Settings. The connection is now configured.
Inventory Catalog Source
You can control which products your store receives from the platform:
| Option | What It Does |
|---|---|
| My inventory only | Only products assigned to your license/account are synced. Use this if you only sell your own allocated stock. |
| Public seller products only | Only products from the platform's general public stock are synced. Use this if you want to sell products uploaded by other suppliers. |
| My products + public products | Both your personal inventory and public stock are synced. This gives you the widest catalog. |
Allowed Categories
You can filter which product categories your store receives:
- Gaming Accounts
- Gift Cards & Vouchers
- Game CD Keys & Licenses
- In-Game Items & Skins
- Software & Subscriptions
- Mobile Top-Up & Recharge
- Game Currency & Gold
- Game & Developer Coaching
Only the categories you check will be synced to your store. Sensitive or restricted categories stay on the platform and never reach your local store.
Allowed Countries
Filter products by region: Global, France, Belgium, Morocco, Algeria, Tunisia, Spain, Germany, Italy, Netherlands, UK, US, Canada. Only products matching your selected countries will appear in your store.
6. Product Sync — Hub Products vs. Your Own
After connecting, your store periodically syncs with the platform hub. Here's how it works:
Automatic Sync
Once your license is valid, the plugin syncs automatically in the background on a regular schedule. You don't need to do anything — new products from the hub appear in your store automatically.
Manual Sync
To force an immediate sync, go to Pro Blanche Store → Hub Sync and click Sync Now. This is useful when you know new products were just added to the platform and you want them immediately.
What Gets Synced
- Product data: Title, description, images, category, type (digital/physical)
- Pricing: Base price from the hub, with your markup applied automatically
- Stock levels: Real-time availability from the platform
- Variants: If a product has variants (e.g., different regions or durations), they sync too
- Delivery configuration: API delivery flags so the plugin knows which products to deliver automatically
Hub products are synced from the platform. They carry the "Hub" badge in your product list. Their base price is set by the platform, and your profit margin is applied on top. Local products are products you create yourself in WordPress. You set the price, stock, and delivery method for these.
7. Adding Your Own Products for Fast Selling
In addition to synced hub products, you can create your own products directly in WordPress. These are local products — they live on your site and are not shared with other stores.
How to Add a Product
Go to Products
Navigate to Pro Blanche Store → Products and click Add New Product.
Fill in Product Details
Enter the title, description, and select a category. Upload product images — a main image and optional gallery images.
Choose Product Type
Select Digital or Physical. Digital products can trigger API delivery automatically after payment. Physical products are handled manually.
Set Price & Stock
Enter the price in EUR and set the stock quantity. If the product has variants (sizes, durations, regions), add them with individual prices and stock levels.
Configure Delivery (Digital Only)
For digital products, choose the delivery mode: Instant (API delivers immediately after payment) or Manual (you handle delivery yourself within an estimated timeframe).
Publish
Click Publish. The product is now live on your store and visible to customers.
Local products with instant API delivery sell fastest because the customer gets their product immediately after payment — no waiting, no manual work. If you're selling game keys, gift cards, or accounts, set delivery to Instant and connect your API endpoint for automatic fulfillment.
Product Variants
If you sell the same product in different configurations (e.g., a gift card in €10, €25, and €50 amounts), use variants. Each variant has its own price and stock level. The customer selects the variant on the product page before adding to cart.
8. Commissions, Fees & Profit Margins
The platform uses a transparent pricing model. Here's how money flows:
How Profit Margins Work
When you sync a hub product, it comes with a base price — this is the wholesale price set by the platform or supplier. You add your profit margin on top. The customer pays the final price, and you keep the difference.
| Margin Type | How It Works | Example |
|---|---|---|
| Percentage (%) | Adds a percentage on top of the base price | Base €10.00 + 20% = Customer pays €12.00, you earn €2.00 |
| Fixed (€) | Adds a fixed amount on top of the base price | Base €10.00 + €2.00 = Customer pays €12.00, you earn €2.00 |
Where to Set Your Margin
Go to Pro Blanche Store → API & Delivery and look for:
- API product profit mode — choose
%or€ - API product profit value — enter your markup amount
This margin applies only to synced hub products. Products you create yourself are not affected — you set their prices directly.
The margin is applied during sync. If you change the margin, you need to trigger a new sync for existing products to update. New products synced after the change will automatically use the new margin.
Platform Commission
The platform may deduct a commission from each sale. This commission is automatically calculated and deducted from the transaction before your earnings are credited. The exact commission rate depends on your agreement with the platform team. Contact the platform administrator for your current rate.
Revenue Flow Summary
Customer pays: €12.00 (base price + your margin)
─────────
Platform commission: -€X.XX (deducted automatically)
─────────
Your net earnings: €Y.YY (credited to your wallet or payout method)
9. Wallet System
Each store includes a built-in EUR wallet. The wallet can be used for:
- Internal payments: Customers can pay with wallet balance at checkout
- Reseller credits: You can credit wallets for resellers or loyal customers
- Loyalty balances: Store credit for refunds or promotions
Managing Wallets
Go to Pro Blanche Store → Wallet to credit or debit any user's wallet:
- Enter the user's email address
- Enter the amount in EUR
- Choose Credit (add funds) or Debit (remove funds)
- Click Apply Wallet Change
The wallet appears as a payment option at checkout if it has a balance. Customers can use it alongside other payment methods.
10. Payment Methods
The plugin supports multiple payment methods. You can enable or disable each one in Pro Blanche Store → Payments.
Stripe
Credit/debit card payments through Stripe's hosted payment pages. Customers enter card details securely without leaving your store.
PayPal
PayPal checkout integration. Customers pay with their PayPal account or guest checkout. Funds are processed securely.
Wallet
Internal EUR wallet. Instant, no external processing. Great for returning customers and resellers.
WooCommerce Bridge
Connects to WooCommerce's payment system. If you already have WooCommerce configured with payment gateways, the plugin can use them.
Manual
Bank transfer or manual payment. The order stays pending until you confirm payment manually.
Webhook
External payment providers can call your store's webhook to confirm payment automatically and trigger delivery.
Webhook Configuration
The plugin generates a unique webhook URL for your store. External payment systems can call this URL to confirm payments:
Payload fields: order_number, order_id, status, method, secret
When the webhook receives a valid payment confirmation, it automatically marks the order as paid, reduces stock, and triggers API delivery for digital products.
11. Order Delivery (Digital & Physical)
Store Modes
| Mode | Behavior |
|---|---|
| Hybrid | Digital products trigger API delivery automatically. Physical products are handled manually. This is the default and recommended mode. |
| Digital First | All digital products trigger API delivery. Physical products do not trigger API delivery by default. |
| Physical First | API delivery is disabled by default for all products. You handle everything manually. |
How API Delivery Works
Customer Pays
The customer completes checkout and the payment is confirmed (automatically via webhook or manually by the store owner).
Plugin Sends Request
For each digital product in the order, the plugin sends a delivery request to the API URL you configured. The request includes product name, quantity, customer email, and a unique order ID.
Platform Responds
The platform processes the request and returns the delivery data (e.g., account credentials, activation key, gift card code). The plugin stores this in the order record.
Customer Receives
The delivery data is shown on the Thank You page and can be emailed to the customer. The order is marked as "Delivered."
If the platform is temporarily down or the API key is wrong, delivery will fail. The order is still marked as paid, and you can click Retry API Delivery in the order details to attempt delivery again. Failed deliveries are logged with the error message for troubleshooting.
12. Shortcodes & Page Setup
The plugin uses shortcodes to render its components on any WordPress page. Here are the available shortcodes:
| Shortcode | What It Displays |
|---|---|
[pbs_store] | The full storefront: product grid, search, filters, product detail modal, and add-to-cart functionality. |
[pbs_cart] | The shopping cart page with items, quantities, totals, and checkout button. |
[pbs_thank_you] | The Thank You page shown after successful payment. Displays order summary and delivery details. |
[pbs_home] | A homepage version of the store with featured products, categories, and slider. |
[pbs_header_ui] | Renders the custom header with logo, navigation menu, search, and cart icon. |
[pbs_footer_ui] | Renders the custom footer with links, social icons, and copyright. |
[pbs_landing] | A beautiful landing page showcasing the platform features, pricing, testimonials, and integrations. |
[pbs_checkout_total] | Displays the current cart total (useful for custom checkout pages). |
Creating Pages
If the plugin didn't auto-create pages, you can create them manually:
- Go to Pages → Add New
- Give the page a title (e.g., "Store")
- Add the shortcode in the content area (e.g.,
[pbs_store]) - Click Publish
For the Thank You page, go to Pro Blanche Store → Settings and enter the URL of your Thank You page in the Thank-you page URL field. This ensures customers are redirected correctly after payment.
13. Dark / Light Mode Toggle
The plugin includes a built-in dark/light mode toggle that appears on all pages rendered by the plugin. This applies to:
- The storefront (
[pbs_store]) - The cart (
[pbs_cart]) - The Thank You page (
[pbs_thank_you]) - The landing page (
[pbs_landing]) - The homepage (
[pbs_home])
Customers can switch between dark and light mode with a single click. Their preference is saved in their browser and remembered across visits. The toggle adapts all colors, backgrounds, borders, and text automatically — no configuration needed.
The plugin defaults to dark mode for a premium look. If most of your customers prefer light mode, the toggle is always visible in the header for easy switching.
14. Troubleshooting & Common Issues
Connection & Sync Issues
| Problem | Likely Cause | Solution |
|---|---|---|
| License shows "Invalid" | Wrong key, or key already used on another domain | Double-check the key. If you moved domains, deactivate on the old site first. Contact the platform team if the issue persists. |
| License shows "Grace period" | The plugin can't reach the license server (network issue or server downtime) | Wait a few minutes and try again. Check that your hosting allows outgoing HTTPS requests. If it persists, contact your hosting provider. |
| No products appearing after sync | Categories or countries filter too restrictive, or catalog source is set to "My inventory only" but you have no assigned products | Go to API & Delivery settings and broaden your category/country filters. Change catalog source to "Both" to get public products too. |
| Hub sync button does nothing | A sync is already running in the background, or the license is not valid | Wait 30 seconds and try again. Check your license status page — sync requires a valid license. |
| Products appear but prices are wrong | Profit margin was changed but sync hasn't run since | Go to Hub Sync and click "Sync Now" to re-sync products with the new margin. |
Payment & Delivery Issues
| Problem | Likely Cause | Solution |
|---|---|---|
| Customer paid but didn't receive product | API delivery failed (platform down, wrong API key, or timeout too short) | Go to Orders, find the order, click "Retry API Delivery." Check the API logs in the order detail for the error message. Verify your API URL and key are correct. |
| Stripe/PayPal payment not confirming | Webhook not configured, or payment provider can't reach your site | Copy the webhook URL from API & Delivery settings and add it to your Stripe/PayPal dashboard. Ensure your site uses HTTPS. |
| Wallet payment option not showing | Wallet is disabled in settings, or user has zero balance | Go to Settings and enable wallet. Credit the user's wallet from the Wallet page. |
| Order stuck on "Pending" | Payment hasn't been confirmed yet | If using manual payment, mark the order as paid manually. If using automatic payment, check the webhook logs. |
Display & Theme Issues
| Problem | Likely Cause | Solution |
|---|---|---|
| Store page looks unstyled or broken | Theme conflict or caching plugin serving old CSS | Clear your caching plugin. If using a page builder, ensure the shortcode is in a raw HTML or shortcode block, not a formatted text block. |
| Header or footer not showing | The [pbs_header_ui] and [pbs_footer_ui] shortcodes aren't placed, or the theme overrides them |
Add the shortcodes to your theme's header/footer template, or use the plugin's built-in template system. |
| Dark/light toggle not working | JavaScript conflict with another plugin | Temporarily disable other plugins one by one to identify the conflict. Ensure your theme doesn't block inline scripts. |
| Logos not loading on landing page | Custom logo URLs are wrong, or your server blocks external images | Go to Settings and check the three "Landing page logo URL" fields. Leave them empty to use the default official logos. If your hosting blocks external images, download the logos and host them on your own server. |
Hosting-Specific Issues
| Problem | Solution |
|---|---|
| API requests timing out | Increase the API timeout in API & Delivery settings (up to 60 seconds). If using a shared hosting plan (e.g., EasyWP Starter), server resources may be limited — consider upgrading if you process many orders. |
| "A hub sync is already running" error | This is a lock to prevent duplicate syncs. Wait 30-60 seconds and try again. If it persists, the lock may be stuck — contact the platform team. |
| Plugin can't connect to license server | Ensure your hosting allows outgoing HTTPS (port 443) connections to softmedialtd.com. Some firewalls block this by default. |
15. Frequently Asked Questions
Yes. The plugin works in local mode without a license. You can create your own products, accept payments, and manage orders. However, you won't be able to sync hub products or use automatic API delivery. Activate a license to unlock all features.
One license key works on one domain. If you need multiple stores, contact the platform team for additional licenses. You can deactivate a license from one site and activate it on another if you move domains.
The profit margin is global — it applies to all synced hub products. If you need different margins, you can edit the price of individual products after sync. However, the next sync will overwrite your manual price changes. To avoid this, consider adding the product as a local product instead.
Your store continues working. Customers can still browse products, add to cart, and pay. Digital delivery will fail until the platform is back, but you can retry delivery later. Orders are stored locally and can be fulfilled manually in the meantime.
Yes, the store itself is accessible worldwide. However, the products available in your store are filtered by the countries you select in API & Delivery settings. If you only select "France," only products available for France will appear in your store.
No. The plugin works standalone. WooCommerce is optional — if you have it installed, the plugin can use WooCommerce's payment gateways through the built-in bridge. If you don't have WooCommerce, the plugin uses its own cart, checkout, and payment system.
Go to Pro Blanche Store → Settings. You'll find three fields for WordPress, WooCommerce, and PayPal logo URLs. Enter your own image URLs or leave them empty to use the official logos automatically.
Yes. Go to Settings to configure the header logo, navigation menu items, action buttons, and colors. You can also use the Header & Footer submenu for advanced layout customization including menu links, social icons, and footer text.
Digital products (game keys, accounts, gift cards, software) can be delivered automatically through the API after payment. Physical products require manual shipping. In Hybrid mode, digital products trigger API delivery while physical products are marked for manual handling.
The plugin syncs automatically on a regular schedule (typically hourly). You can also trigger a manual sync at any time from the Hub Sync page. Products are also synced when you activate or re-validate your license.
Yes, if you have a supplier account. Contact the platform team to get supplier access. Once approved, you can upload products to the hub's general stock, and they become available to all connected store owners who select "Public products" or "Both" as their catalog source.
Commissions are handled by the platform automatically. When a sale occurs through API delivery, the platform calculates the commission based on your agreement and deducts it from the transaction. Your net earnings are either credited to your wallet or processed through your chosen payout method. The exact rate depends on your contract with the platform team.
Yes. The plugin uses WordPress's built-in security (nonces, capability checks, escaped output). API communication uses HTTPS. License responses are verified with cryptographic signatures. No customer payment data is stored on your site — payments are processed by external providers (Stripe, PayPal) on their secure servers.
The plugin continues to work in local mode. Your existing products, orders, and settings are preserved. You can still sell local products and accept payments. However, hub sync stops and API delivery for hub products won't work until you renew. Existing synced products remain visible but won't update.
Yes, but each subsite needs its own license key. The plugin is designed for single-site use per license. For multisite setups, activate the plugin network-wide and configure each subsite separately with its own license and API settings.
